The Finance and Admin Officer plays a critical role in supporting the financial management and administrative operations of the organization. This position is responsible for overseeing budgeting, accounting, financial reporting, procurement, and administrative support to ensure efficient and transparent processes aligned with organizational policies and regulatory requirements.

The Finance and Admin Officer ensures the sound financial health and smooth administrative operations of the organization, contributing directly to the effective delivery of programs and projects. By maintaining rigorous financial control and efficient administrative support, the role safeguards the organization's resources and enhances its credibility and compliance with donors and stakeholders.

Responsibilities

Key Responsibilities:

  • Manage day-to-day financial operations, including processing payments, maintaining financial records, and ensuring compliance with accounting standards.
  • Prepare, monitor, and manage budgets in collaboration with program and project teams.
  • Coordinate and facilitate financial audits and ensure transparent and accurate financial reporting to management and donors.
  • Oversee procurement processes, ensuring adherence to organizational policies and value
  • Undertakes budget tracking and financial reporting in compliance with internal policies and donor requirements for money.
  • Maintain administrative systems including office logistics, asset management, and office supplies.
  • Support human resources administration, including staff records, payroll coordination, and compliance with labor regulations.
  • Facilitate travel arrangements, workshops, meetings, and event logistics.
  • Collaborate with project teams to align financial and administrative activities with project goals and donor requirements.
  • Ensure timely submission of both financial and narrative reports as required by the organization and its partners.
  • Support capacity building efforts in financial management and administrative procedures
  • Maintain accurate financial records and lead pre-audit readiness across the organization.
  • Maintain confidentiality and professionalism in handling sensitive financial and personnel information.
  • Prepare cost-benefit analysis during program terms negotiations.
  • Update and report periodically on asset management.
Qualifications

Qualifications and Skills:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Proven experience in financial and administrative management within a development or non-profit context is preferred.
  • Strong knowledge of budgeting, accounting principles, donor funding regulations, and procurement processes.
  • Proficiency in financial software and Microsoft Office applications.
  • Excellent organizational, communication, and problem-solving skills.
  • High level of integrity and accountability.
  • Ability to work collaboratively in a team and to manage multiple tasks effectively.
  • Knowledge of relevant national laws and regulations related to finance and administration.

 

Qualifications and Experience

  • Degree in Finance, Accounting, Business Administration, or related field.
  • Minimum of 3-4 years’ cumulative experience in finance and administrative roles, supporting institutional growth, preferably within NGOs, transitional justice programs and women-led institutions.
  • Knowledge of The Gambia’s transitional justice processes, including familiarity with the TRRC and related human rights issues is an asset.
  • Proficiency in financial software (especially QUICKBOOKS or SAGE) and Microsoft Office suite (Excel, Word, Outlook).
  • Strong organizational skills and attention to detail.
  • Fluency in English and at least two major Gambian languages, including Mandinka and Wollof.
  • Ability to work with diverse teams and maintain confidentiality and professionalism.
