Position Overview 

The Head of Operations will be responsible for overseeing the day-to-day operations of WAVE-Gambia, providing leadership and coordination across programmatic, administrative, financial, and operational functions.

The Head of Operations will ensure effective management of resources, support/guide project development and implementation, and foster a cohesive and motivated team. This role is critical to advancing WAVE-Gambia’s mission through efficient organizational management, resource mobilization, and compliance with donor requirements in alignment with WAVE’s programmatic and institutional strategic objectives.

Responsibilities

Key Responsibilities

  1. Operational and Administrative Leadership
    Manage daily office operations, including administration, logistics, and coordination among teams to ensure smooth and efficient functioning.
    Provide guidance and leadership to the WAVE team, acting as head of office to foster a collaborative and productive work environment.
    Develop, implement, and enforce organizational policies and procedures to maintain high standards of governance and accountability.
    Represent WAVE-Gambia in meetings and forums as delegated by the Senior Technical Advisor.
  2. Project Development and Management
    Lead and support the writing of project proposals and applications, ensuring alignment with organizational priorities and donor requirements.
    Collaborate with program teams to develop realistic budgets for project applications and ongoing activities.
    Oversee allocation and monitoring of funds for different project activities, ensuring transparency and compliance with donor guidelines.
    Ensure alignment of project implementation with programmatic strategic objectives.
  3. Financial Oversight and Resource Mobilization
    Assist in financial planning and budgeting processes, working closely with finance staff to monitor expenditures and ensure efficient use of resources.
    Assisting the STA in identifying funding opportunities, preparing concept notes, and liaising with donors and partners.
    Ensure accurate and timely financial reporting and update to donors and internal management.
  4. Monitoring, Reporting, and Compliance
    Oversee the preparation of regular progress reports on project implementation for internal and external audiences, including donors.
    Ensure that all activities comply with organizational policies, donor requirements, and relevant legal frameworks.
    Facilitate and participate in internal reviews and audits as required.
Qualifications

Qualifications and Skills

Bachelor’s degree in social sciences, Development Studies, Business Administration, Public Administration, or related field; advanced degree preferred.

Minimum of 4-5 years of progressively responsible experience in organizational management, program coordination, and donor-funded project administration, preferably in human rights, transitional justice, or women’s empowerment sectors.

Proven experience in project proposal writing, budgeting, and financial oversight.

Strong leadership and team management skills, with the ability to motivate and guide diverse teams.

 

Excellent organizational, communication, and interpersonal skills.

Familiarity with donor compliance, reporting standards, and resource mobilization strategies.

Proficiency in Microsoft Office, project management software, and financial tracking tools.

Commitment to equitable gender initiatives, human rights, and social justice principles.
